Terms and Conditions
These terms and conditions outline the basis upon which you hire equipment and accommodation from Festival Extras Limited, trading as Pink Moon Camping ("us" or "we"). Please ensure that the information you provide when booking is correct and complete, as we cannot be held responsible for mistakes resulting from incorrect or incomplete information you provide.
Definitions
- "Accommodation" refers to the items listed under various names and descriptions on our bookings page, including all physical items provided.
- "Contract" is the agreement between us and you for the supply and rental of the accommodation.
- "Event" refers to the festival where the accommodation will be used, as indicated on the booking form.
Services and Equipment
Details of all services and equipment we provide are available on our website and are subject to change. We will endeavor to supply the services and equipment as per your booking. However, we cannot be responsible for changes to services provided by third parties. Should there be any water or power issues across the festival site, all efforts will be made to rectify the problem swiftly, but external issues can cause delays.
Site Location and Booking Finalization
We cannot guarantee a specific location for your site as the festival dictates our allotted areas. The size of the site depends on the number of sales, and we tailor the site to fit the given land. Your booking is only final once you have paid the balance in full, which is due 6 weeks before each event. An automated reminder will be sent in advance. Failure to pay by this date may result in automatic cancellation, and any deposits paid are non-refundable after the final payment due date.
Specification
Please note that any images used are representative and the final supplied products may vary. All colours, sizes, and measurements shown on the website are approximate, but every effort is made to ensure they are as close as possible to what is shown.
Transfer of Accommodation Bookings
Pink Moon Camping is not responsible or liable for providing entry to any accommodation or service to a purchaser or person in possession of a Pink Moon Camping order confirmation obtained from any source other than directly through Pink Moon Camping or authorized official agents. All orders/bookings are non-transferable, and entitlement rights apply only to the original purchaser. Accommodation bookings may not be re-sold or transferred without the written permission of Pink Moon Camping.
Festival Tickets
The promoters do not recognize or support the secondary ticket market and are not responsible for providing entry to the event or any advertised service/concert to a purchaser or person in possession of a ticket obtained from any source other than the promoters' authorized agents. All tickets are non-transferable, and entitlement rights apply only to the original purchaser. Tickets may not be re-sold or transferred without the written permission of the promoter. To stay with us, you must have full weekend camping festival tickets; day tickets do not apply to Pink Moon campsites unless at our Sandringham one night shows. We advise customers not to purchase accommodation unless they have secured a weekend ticket to the festival. Please note our Sandringham shows do not require a weekend ticket, a ticket for the show day is accepted.
Rental Period
The contract commences on your arrival day at the event and terminates on the event's closing day. Hire charges and damage deposit charges are payable as set out on the booking form. A damage deposit may be required, which will be returned if the accommodation is delivered back to us in the same condition. If not, repair costs will be deducted from the deposit. Full or partial payment is due upon booking acceptance, and accommodation cannot be confirmed until payment is received. A confirmation email and receipt will be sent upon payment. The final balance payment is due 6 weeks before the event, and failure to pay by this date may result in cancellation.
Cancellation and Refunds
- Cancellations up to 180 days prior to the start of the event incur a 25% levy of the total order value.
- Cancellations between 180 and 42 days prior to the start of the event incur a 50% levy of the total order value.
- Cancellations within 42 days of the event are non-refundable.
Amendments
To amend your booking, email us and we will update your order (subject to availability). If your order is paid in full and you are reducing the size/type of structure, we will refund the overpayment less a £25 (€30) admin fee. No amendments are possible within 6 weeks of the event date.
Force Majeure
Our performance is subject to variation or cancellation without refund due to Acts of God, epidemics, wars, strikes, riots, lockouts, fires, floods, storms, or other causes beyond our control.
Governing Law
This agreement is governed by the laws of the United Kingdom, and any disputes shall be submitted to the exclusive jurisdiction of the UK courts.
Acceptance
You will ensure that the accommodation supplied is satisfactory. Any faults must be notified to our staff at the event as soon as practicable and within one hour of discovery. We reserve the right to substitute accommodation with another of equivalent specification. The accommodation may have sponsor branding, which must not be defaced or modified. You will leave the accommodation in good condition at the event's end. The accommodation remains our property, and it may not be moved or altered without our consent. Our tents are built to withstand certain weather conditions, but we cannot guarantee their resilience against extreme conditions.
Liability and Safety
We exclude our liability for loss or damage resulting from your use of the accommodation to the fullest extent permitted by law. As the party leader, you are responsible for your group's behaviour and any damage to the accommodation, site, or contents. Ensure all steps are taken to avoid injury when using the accommodation and comply with all event organisers' rules. No smoking or open flames are allowed inside the accommodation.
Complaints and Issues
Complaints or issues must be reported to staff at the reception tent onsite. If the problem occurs outside of reception hours, contact the 24-hour PMC mobile. If unresolved onsite, email us within 2 weeks following the festival.
Website Terms of Use
Use of this website indicates acceptance of these Terms of Use. If you do not accept these terms, please do not use this website. You may view and download materials for personal use, but not for commercial purposes without our written consent. Links to third-party websites are provided for convenience, and we accept no responsibility for their content. The materials posted are "as-is" without warranties of any kind.
Liability
We are not liable for any damages arising out of the use of this website or linked websites. This limitation may not apply to you if applicable law does not allow the exclusion of incidental or consequential damages.
Applicable Laws
This website is administered from the UK, and the laws of England govern these terms. If you access this website from outside the UK, you are responsible for compliance with local laws.
General
We may revise these Terms of Use at any time. Ensure you are informed of any changes.
Evaluation Terms and Conditions
These terms, together with the order form, form a binding contract between the customer and Pink Moon Camping. Each request constitutes a separate contract governed by these terms, which apply to the exclusion of other terms unless agreed in writing.
- License
1.1 Pink Moon Camping grants a non-exclusive, non-transferable license to use the products internally for evaluation and testing during the evaluation period.
Online Competitions: Standard Terms and Conditions
Competition details form part of these terms and conditions. Entry is open to UK residents except employees (and their families) of Festival Extras Limited, agents, suppliers of the prizes, and associated companies. Entrants must be aged 18 or over and provide proof of identity and age. Use of false information results in disqualification. Entries must be made by the person entering the competition, and automated entries are void. We accept no responsibility for lost, delayed, or corrupted entries. Prizes are not transferable, and no cash alternatives are offered. Winners are responsible for expenses not included in the prizes. The promoters reserve the right to amend or reject entries and offer alternative prizes if necessary. Winners agree to the use of their names and photographs for publicity. Postal entries must be made on the relevant form. Winners are drawn at random or selected by judges, and reasonable efforts will be made to contact them. If contact is unsuccessful, the promoter may offer the prize to the next eligible entrant. The judges' decision is final, and no correspondence will be entered into. Competitions may be modified or withdrawn at any time. The promoter is Festival Extras Limited, PO Box 814, YORK, YO1 0PQ. In the event of a discrepancy between these terms and promotional material, the promotional material prevails. A list of winners is available by writing to the promoter's address six weeks after the competition closes.
